AI in business analytics can help with exploring data, calculating comparisons and explaining results. The practical decision is where to use it: an approved file-analysis tool for a bounded investigation, or an assistant inside your existing business-intelligence system for questions about managed business metrics. Neither route removes the need to verify the answer.

Start with one question whose result you can independently check—such as which sales channels contributed most to a month-over-month revenue change. Avoid starting with “find insights in our business.”

Choose the workflow before the tool

These are two supported routes, not an exhaustive product ranking:

Reader task Practical route Required inputs Acceptance check
Compare revenue, costs or order volumes across periods Analyze an approved data export in ChatGPT Structured records, metric definitions, dates and units Reconcile totals and recompute the comparison independently
Ask follow-up questions about an existing Power BI report Use Copilot against the relevant report and semantic model Access to the right model, defined measures and business context Compare the answer with a trusted report using matching filters
Investigate an unusual result Use either route to break the result down by relevant categories Complete records for the comparison periods and stable category definitions Check the underlying records; treat proposed causes as hypotheses

OpenAI documents support for uploaded-data summaries, charts, transformations and Python-based calculations. It also warns that a successful upload does not guarantee complete analysis. Available file types vary by model, plan, workspace settings and account capabilities, so check the intended workspace before planning the task.

Microsoft documents report questions, summaries and semantic-model-based answers in Power BI. A semantic model is the layer defining tables, relationships and business measures. Importantly, Microsoft says questions unrelated to the model can receive answers from the language model’s general knowledge—not your business data.

Prepare an input package, not just a file

For either route, give the assistant enough information to distinguish the intended calculation from a plausible alternative:

  • Decision and question: What will someone do differently after reading the result?
  • Record grain: Does each row represent an order, an order line, a customer or a daily total?
  • Metric definition: State what counts as revenue, a customer or a completed order. Specify refunds, cancellations, taxes and exclusions where relevant.
  • Time scope: Provide the date field, timezone, comparison periods and data-refresh timestamp. Identify incomplete periods.
  • Units: Name the currency and explain any conversion. Do not combine currencies without an agreed conversion rule.
  • Relationships: If using multiple tables, identify join keys and expected relationships.
  • Reference result: Keep an independently calculated total or a trusted report for the same scope.

For file analysis, OpenAI recommends descriptive headers, one record per row and no unrelated tables mixed together. Prefer structured data such as CSV when exact values matter; its guidance warns that scanned or image-based tables may not yield reliable exact values. See the preparation and extraction limits.

Use only data your organization permits in the chosen workspace. OpenAI says it does not train on ChatGPT Business or Enterprise data by default, but that commitment is not permission to upload confidential information. Confirm your organization’s access, retention and approved-use requirements first. OpenAI’s business-data commitments describe its policies.

Route 1: investigate an approved export in ChatGPT

For an initial pilot, use a fixed export and preserve the original. Ask for a data audit before an interpretation: row count, columns, date range, missing values, duplicate keys and any rows excluded from analysis.

Here is a suggested prompt for an order-level dataset; adjust the dates and definitions to your actual task:

Using the attached order-level data and metric definitions, compare net revenue for calendar September and October 2026 by sales channel. First confirm the row count, date coverage, currency, missing values and duplicate order IDs. Stop and ask if the definitions or timezone are unclear. Do not replace missing revenue with zero. Show each month’s total, absolute change and percentage change using September as the baseline. Show each channel’s absolute contribution to the overall change: October revenue minus September revenue. Where September revenue is zero, flag the undefined percentage change. Show the calculation code and list all exclusions. Separate observed changes from possible explanations.

Review the calculation, not just the prose. Check the date filter, grouping, treatment of duplicates and denominator. OpenAI explicitly recommends reviewing generated code, outputs and assumptions when ChatGPT uses Python. Its analysis environment also cannot make external web requests or API calls, so provide required external data rather than assuming the calculation retrieved it. Data-analysis capabilities and constraints.

A second prompt can request a clearer chart or explanation. It should not silently change the calculation method.

Route 2: question a prepared Power BI model

If your team already maintains trusted Power BI measures, start there rather than rebuilding their definitions in an export.

Ask the model owner to review Prep data for AI, which Microsoft documents as a preview feature. Its AI data schemas, AI instructions and verified answers are designed to reduce ambiguity. Verified answers associate trigger phrases with an author-selected visual; they are not blanket certification of every generated answer. Microsoft also warns that preparation cannot guarantee a particular output. Power BI’s preparation guidance.

Then ask a narrowly scoped question using the approved measure name, period and category. Inspect How Copilot arrived at this, where available, to see what it used to produce the answer. Compare the result with the trusted report under the same scope, including filters and permissions.

Check access before planning this workflow. As of November 1, 2026, Microsoft lists paid Fabric capacity of F2 or higher, or Power BI Premium P1 or higher, plus the relevant admin setting and a supported region. A Pro or Premium Per User license alone is insufficient. For the report pane in the Power BI service, the report must be in a workspace linked to qualifying capacity; summarized insights require at least read access to the workspace, report or app. Other experiences have additional requirements and different preview status. Current Power BI requirements. For broader availability checks, use our guide to reading an AI tool changelog.

Decide whether the result is usable

Before a result influences a decision, apply four checks:

  1. Coverage: Did the tool analyze the complete intended dataset or model scope—not a sample or partial period?
  2. Reconciliation: Do totals match the reference result? Explain rounding differences; investigate unexplained discrepancies.
  3. Recalculation: Independently reproduce the headline figure and at least one subgroup using a query or trusted BI measure. A second AI response is not an independent check.
  4. Interpretation: Does the evidence show a change, or establish its cause? A channel breakdown can locate a revenue decline; it cannot by itself prove why customers changed behavior.

Stop if the source, metric definition, permissions or calculation cannot be inspected. Resolve numerical discrepancies before asking the assistant to write a more persuasive summary.

For a pilot, retain the input snapshot or model refresh time, prompt, method, exclusions, result and reviewer approval. Expand the workflow only when it answers the chosen question correctly and reduces work after verification, not merely when it produces a polished answer.
